Bilingual Medical Office Administrator (PIP/Legal Exp. Preferred)

We are a busy Orthopaedic Surgery & Sports Medicine practice in Roselle Park, NJ, seeking an experienced, full-time Senior Medical Administrator. This is not an entry-level or front desk position. This role manages critical administrative functions, including medical records, MRI coordination, treatment authorizations, disability paperwork, attorney communications, and billing documentation. The ideal candidate is organized, accountable, and able to manage multiple priorities independently.

Qualifications
  • Fluent in English and Spanish, both written and spoken (REQUIRED).
  • Minimum 3 years of medical office experience preferred.
  • Prior experience with PIP/No-Fault automobile insurance claims and attorney offices.
  • Strong knowledge of medical terminology, medical records, insurance verification, and authorizations.
  • Excellent communication, organizational, computer, and multitasking skills.
  • Proficiency with EMR systems, Microsoft Office, Google Workspace, and insurance portals.
  • Dependable, detail-oriented, flexible, and able to work independently without micromanagement.
  • Willingness to take an "all hands on deck" approach in a small practice.

Requirements Check: Only candidates who are fully bilingual in English and Spanish AND have prior medical office experience will be considered.

Key Responsibilities
  • Manage medical record requests from patients, attorneys, insurers, and medical facilities.
  • Coordinate MRI and diagnostic imaging approvals, documentation, authorizations, and scheduling.
  • Manage treatment precertifications and authorizations, including submissions, tracking, and follow-up.
  • Maintain organized tracking systems for outstanding requests, approvals, and administrative tasks.
  • Coordinate and complete patient disability paperwork promptly and accurately upon receipt.
  • Communicate with attorney offices regarding treatment status, upcoming care, and pending approvals.
  • Maintain accurate patient records, authorizations, communications, and treatment documentation.
  • Prepare and review complete billing packets, ensuring all required documentation is accurate before submission.
  • Coordinate with staff and outside facilities to ensure continuity of patient care.
  • Assist with other administrative duties as needed while maintaining strict patient confidentiality.

The Right Candidate
We need someone who takes ownership and follows through . You don't just submit authorizations—you track them to completion. You don't just forward paperwork—you ensure it's accurate and complete. You communicate professionally, prioritize independently, meet deadlines, and understand how timely follow-up affects patient care and practice operations.

We are looking for someone who recognizes what needs to be done and gets it done without constant supervision.
